Email Writing Rules (Apply to ALL Emails)

Subject line rules:

  • 4-7 words maximum
  • No spam trigger words (free, guarantee, act now, limited time, urgent)
  • Personalized when possible (company name, person name, or specific reference)
  • Lowercase style is acceptable and can improve open rates
  • No exclamation marks
  • No ALL CAPS
  • Generate 2 options per email for A/B testing

First line rules:

  • NEVER start with "I hope this finds you well" or any variant
  • NEVER start with "My name is..." or "I'm reaching out because..."
  • MUST reference something specific about the prospect (trigger, post, product, company)
  • The first line determines whether the rest gets read

Body rules:

  • Emails 1-4: Under 100 words total
  • Email 5: Under 75 words total
  • Short paragraphs (1-3 sentences each)
  • No jargon: no "synergy", "leverage", "circle back", "touch base", "low-hanging fruit", "deep dive", "bandwidth", "ecosystem"
  • Conversational tone — write like a peer, not a vendor
  • One idea per email
  • White space is your friend — do not write dense paragraphs

CTA rules:

  • ONE call-to-action per email (never two)
  • Low friction: "worth a quick call?" > "schedule a 30-minute demo"
  • Framed as a question, not a command
  • Specific: "15-minute call this Thursday?" > "Let's connect sometime"
  • Give them an easy out: "If not, no worries — happy to share the resource either way"

Tone rules:

  • Peer-to-peer, not vendor-to-buyer
  • Confident but not arrogant
  • Helpful but not desperate
  • Brief but not cold
  • Specific but not stalkerish
  • No exclamation marks in the body

Goal: Build trust through a specific, relevant case study. Create the "companies like me" effect.
